Data controller
The business operating Taxi Mood, identified below, determines how information is used to manage requests, journeys and customer relationships. This policy covers the public website and the communications following your request.
Information we collect
We collect information you enter in a form or provide during our exchanges. Fields marked with an asterisk are needed to review and process your request.
- Identity and contact: full name, email, telephone and contact language. The telephone number is also used for WhatsApp exchanges about the request.
- Journey: pickup and destination addresses, date, time, service, passengers, luggage and useful notes.
- Follow-up: communications, request reference, quotes, confirmations, invoices and payment-related information where a journey is agreed.
- Technical information: browsing session, connection information and security information used to prevent abuse. A hash derived from the IP address accompanies the request.
Do not enter card numbers, identity documents or medical details in the notes. For accessibility needs, describe only the practical assistance required.
Acceptance of terms and privacy acknowledgement
The form checkbox records acceptance of the terms and acknowledgement of this policy. It does not authorise advertising. Processing needed for your request relies on pre-contractual steps or the contract, as set out below.
We record the date and time of acceptance, the terms version and the form language with your request to document the agreed conditions and handle any disputes. These records follow the retention criteria for the relevant customer file.
Why we use your information
Acknowledgements and journey updates are service communications. Submitting a form does not subscribe you to a newsletter or authorise advertising.
| Use | Legal basis |
|---|---|
| Answer a request, prepare a price and check availability. | Steps taken at your request before entering into a contract. |
| Arrange the agreed journey and send pickup information. | Performance of the transport contract. |
| Issue and retain required accounting records. | Applicable accounting and tax obligations. |
| Secure the website, prevent abusive requests and deal with disputes. | Legitimate interests in protecting the service and defending rights, with due regard for your rights. |
Who has access?
Authorised staff access information needed for their role. The assigned driver receives the information needed for pickup. Hosting, maintenance and email providers process information as needed to run the service.
Your information is not published on the website. Disclosure to authorities or the business’s advisers may be required by law or necessary to defend rights. The form’s operation does not involve selling your data to advertisers.
Google Places address search
When assisted address search is available and you start typing, the search text is sent directly from your browser to Google, together with connection information needed for the service. Selecting a suggestion may trigger a request for place details.
Search can be restricted to a service area configured by Taxi Mood. The submitted address is then reviewed manually in the back office before confirmation; the server does not ask Google to make that decision. Enzzup provides the search configuration; suggestions do not pass through Enzzup.
Google applies its own rules. Processing may involve infrastructure outside the European Economic Area. Its policy describes processing locations, transfer safeguards and available controls. You can arrange a journey by contacting us directly instead of using address search.
WhatsApp messages
The WhatsApp button is an external link; no WhatsApp chat widget is embedded in the page. Opening the link and sending a message uses WhatsApp’s service and shares information according to how that service operates.
We use your message to answer your request. You can also contact us by telephone or email. WhatsApp’s policy explains its recipients and international transfers.
How long is information retained?
Retention depends on the outcome of a request and the type of record. The following criteria determine the relevant period. Legal obligations or a dispute may require longer retention.
| Record | Retention criterion |
|---|---|
| Enquiry without a booking | The time needed to answer, follow up and resolve questions about the enquiry. |
| Completed journey and related communications | Journey administration, aftercare and complaints, followed by the limitation periods applicable to the rights concerned. |
| Invoices and accounting evidence | The statutory accounting and tax retention periods applicable to each record. |
| Sessions and technical records | The period needed for operation and security. Session cookie validity is shown on the Cookies page. |
You may ask which criteria apply to your record and request erasure when legal conditions are met. An obligation to retain an invoice does not justify keeping every journey note indefinitely.
Protection and limited use
Access to customer records is restricted to authorised management users according to their roles and permissions. Forms include protections against automated and abusive submissions.
Please share only what is needed for the journey. The website does not make a solely automated booking decision with legal effects: our team reviews requests before confirming a service.
Exercising your rights
Subject to the GDPR’s conditions, you may request access, correction, erasure, restriction and, where applicable, portability of your data. You may object to processing based on legitimate interests for reasons related to your particular situation.
Contact us with a description of your request and a journey reference if available. Proportionate identity verification may be required. We normally respond within one month; any extension permitted by the GDPR will be explained.
Where processing relies on consent, you may withdraw it for future processing. Withdrawal does not affect the lawfulness of earlier processing.
Privacy questions and complaints
You may contact us for clarification or to report a problem. You retain the right to complain to the Belgian Data Protection Authority or the competent authority where you habitually live or work in the European Union.
